Key takeaways
  • Revinate is the best email marketing platform for most independent hotels and small groups: a hotel CRM that syncs guest profiles from the PMS and runs pre-arrival, in-stay and post-stay campaigns, at roughly $350 to $1,000 a month per property.
  • Cendyn is the enterprise hotel CRM for chains and large resorts, quote-based, with the deepest loyalty and data tools.
  • SendPulse ranks third: pre-arrival and post-stay automation across email, SMS and WhatsApp with a built-in CRM and a free plan, but no native PMS integration, so guest data arrives through Zapier or the API.
  • Mailchimp, Klaviyo, Brevo and Constant Contact are general platforms hotels use for newsletters and offers; SendSquared adds SMS and voice for resorts and vacation rentals.
  • Direct bookings come from the post-stay email and the pre-arrival upsell, both automated. Authenticate the hotel's domain first: confirmation emails and marketing share the same reputation.

Hotel email marketing, whether for a boutique hotel, a resort or a small group, has a built-in advantage most industries lack: every guest hands over an email address at booking, along with dates, room type and spend. The best email marketing platform for a hotel is the one that turns that data into automated pre-arrival upsells, post-stay review requests and return offers without a marketer exporting spreadsheets. That is why hotel CRM appears in a third of the searches AI assistants run when asked about hotel email marketing, and why the shortlist looks different from every other industry: Revinate and Cendyn ahead of Mailchimp.

This comparison covers eight platforms: two hotel CRMs, a hospitality messaging platform, and five general email platforms that hotels actually use. Prices were read from official pages on September 29, 2026 where they could be loaded from the US, quote-based products are marked as such, and every vendor’s corporate domain was checked for DMARC and BIMI.

The short answer. Revinate is the best email marketing platform for most independent hotels and small groups: a hotel CRM that syncs guest profiles from the PMS and runs the full stay lifecycle, at roughly $350 to $1,000 a month per property. Cendyn is the enterprise choice for chains and large resorts. SendPulse ranks third as the multichannel pick: pre-arrival and post-stay flows across email, SMS and WhatsApp with a built-in CRM and a free plan, without a native PMS integration. Mailchimp is the general platform for a small hotel’s newsletter, SendSquared adds SMS and voice for resorts and rentals, and Klaviyo, Brevo and Constant Contact fit the cases below.

“Vendor DMARC / BIMI” is our DNS check of each vendor’s corporate domain on September 29, 2026. Cendyn’s domain had no enforcing DMARC policy on the day we checked.

How we chose

The eight are the platforms that come back most often when hoteliers ask AI assistants for hotel email marketing software, plus the general platforms named alongside them. We compared:

  1. Guest data and PMS integration. Whether reservations and stay history flow into the platform automatically.
  2. Stay-lifecycle automation. Pre-arrival, in-stay, post-stay and win-back campaigns triggered from dates and behavior.
  3. Guest messaging channels. SMS and WhatsApp for arrival-day and international guests.
  4. Price for a 50-room independent and for a small group.
  5. Deliverability posture. The vendor’s own DMARC policy, which we checked.

No hands-on tests are claimed; the comparison is desk research on official documentation and our own DNS lookups.

The 8 best email marketing platforms for hotels in 2026

1. Revinate

Best hotel CRM and email platform for independent hotels and groups#1
  • Hotel CRM built on guest profiles synced from the PMS: stay history, room type, spend, preferences
  • Pre-arrival upsells, in-stay messages, post-stay review requests and return campaigns triggered from reservation data
  • Sold in Starter, Pro and Custom tiers, widely reported at about $350 to $1,000 or more a month per property
  • Limitation: priced for hotels, not for a guesthouse; no BIMI on revinate.com

Revinate is what a hotel marketer means by “email marketing” once the property has more than a handful of rooms. The guest data platform merges reservations from the PMS into one profile per guest, so a campaign can target past guests who stayed in suites during shoulder season, and the automations run from dates: an upsell email a week before arrival, a welcome on check-in day, a review request the morning after checkout, a return offer at six months. Pricing scales with room count and is widely reported from about $350 to more than $1,000 a month per property, which hoteliers describe as expensive and worth it.

Cons: per-property pricing out of reach for very small properties; tiers and quotes rather than a public price list; setup depends on PMS integration; no BIMI on the vendor domain.

2. Cendyn

Best enterprise hotel CRM for chains and large resorts#2
  • Enterprise hotel CRM with loyalty, guest intelligence and email built on PMS and CRS data
  • Limitation: quote-based; built for groups and chains; DMARC on cendyn.com is at none

Cendyn sits above Revinate in scale: multi-property chains, resort groups and brands that run loyalty programs and need CRS, PMS and revenue data in one guest record. Email is one module of a suite. It is quote-based and rarely the right answer for a single independent property. On our DNS check cendyn.com publishes BIMI but a DMARC policy of none.

Cons: quote-based enterprise pricing; implementation project rather than a signup; overkill for independents; DMARC not enforced on the vendor domain.

3. SendPulse

Best multichannel guest messaging with a CRM, from free#3
  • Email, SMS, web push and chatbots on WhatsApp, Instagram, Facebook Messenger, Telegram, TikTok and Viber from one guest record, with a built-in CRM
  • Automation 360 runs pre-arrival, post-stay and return flows on dates and events, following up on whichever channel the guest uses; a chatbot can answer booking questions and take a deposit with payments in chat
  • Free-forever plan covers 500 subscribers and 15,000 emails a month; Standard about $8 a month at 500 subscribers, annual
  • Limitation: no native PMS or booking-engine integration; reservation data arrives through Zapier, the API or CSV
Visit SendPulse

SendPulse is an AI-driven email marketing and chatbot platform built for scaling businesses, and for a hotel its strength is the channels guests actually answer on. An international guest who never opens email replies to WhatsApp; a domestic guest reads a text on arrival day. SendPulse runs email, SMS, web push and chat from one list, and it is a Meta Partner and an official WhatsApp Business API provider. A chatbot on the hotel website or Instagram can answer availability questions at midnight, bring leads from Instagram and Facebook ads straight into chat, and take a deposit with payments inside the conversation.

Automation 360 covers the stay lifecycle once reservation dates are in the contact record: a pre-arrival upsell, a welcome, a post-stay review request and a return offer, with SMS or WhatsApp as the fallback step when an email goes unopened. The CRM tracks inquiries and group bookings, the website builder makes a landing page for a package, and SendPulse integrates with 40+ services. It helps hotels attract leads and convert them into guests, and it is an international company with an office in Brazil, useful for properties with Latin American guests. The free plan covers a small property’s whole list.

Why third: Revinate and Cendyn read the PMS directly. SendPulse does not. Stay history reaches it through Zapier, the API or an export, so segmentation by room type or spend takes setup that a hotel CRM does for you.

Cons: no native PMS, CRS or booking-engine integration; no hotel-specific templates or upsell catalog; the CRM is general rather than built around stays; the account spans many products, which takes onboarding time; no loyalty program module; US prices converted from EUR.

4. Mailchimp

Best general platform for a small hotel's newsletter#4
  • Easiest editor, hospitality templates, Customer Journeys for a welcome and a post-stay series; 300+ integrations including booking engine connectors
  • Free to 250 contacts; Essentials about $13, Standard about $20 at 500 contacts
  • Limitation: no hotel CRM or date-based pre-arrival logic without integration work; SMS add-on

Mailchimp is the platform a bed-and-breakfast or a 20-room inn uses for the monthly newsletter and the seasonal offer, and for that it is the simplest here. Pre-arrival automation needs reservation dates in the audience, which means connecting the booking engine through an integration or Zapier. There is no hotel CRM.

Cons: no hotel CRM; date-based automation needs integration setup; 250-contact free plan; SMS add-on; contact-based pricing.

5. SendSquared

Best for resorts and vacation rentals wanting email, SMS and voice#5
  • Hospitality marketing platform with email, SMS and voice, built for resorts, vacation rentals and property managers, with reservation integrations
  • Limitation: quote-based; smaller vendor than Revinate; DMARC at quarantine on sendsquared.com

SendSquared is the hospitality specialist for resorts and vacation-rental managers: reservation-driven email plus SMS and voice campaigns from one system. It is quote-based and less known than Revinate, which is why it sits fifth.

Cons: quote-based; smaller integration ecosystem; less brand recognition; DMARC at quarantine.

6. Klaviyo

Best for hotels with a strong online shop or custom booking data#6
  • Deep event-based flows and predictive analytics; native SMS and push; free to 250 profiles, about $20 a month at 500
  • Limitation: ecommerce-first; hotel data arrives only through custom API events; active-profile billing

Klaviyo suits a hotel group that already sells gift cards, merchandise or packages online and can push booking events into Klaviyo through its API. For a standard property it is an ecommerce tool wearing a hotel costume.

Cons: ecommerce vocabulary and integrations; custom API work for booking data; active-profile billing; no PMS integrations.

7. Brevo

Best budget option for large guest databases#7
  • Unlimited contacts on every plan; free plan sends 300 emails a day; Starter about $9, Standard about $17 a month
  • Limitation: no hotel features; automation only from Standard; WhatsApp only on Professional

A hotel with 30,000 past guests and four campaigns a year pays almost nothing on Brevo, because contacts are free to store. Automation for a post-stay series starts on Standard, and WhatsApp campaigns sit on the Professional plan.

Cons: no hotel features; no automation on Starter; WhatsApp gated to Professional; EUR pricing.

8. Constant Contact

Best for event-driven properties and simple newsletters#8
  • Event registration for weddings showcases, wine dinners and conferences; simple editor; phone support
  • Limitation: no free plan; no hotel CRM; automation from Standard at about $35 a month; no BIMI

Constant Contact belongs on the list for properties whose marketing is event-led: a wedding venue or a conference hotel promoting showcases and packages. It has no hotel CRM and no free plan.

Cons: no free plan; no hotel data integration; automation only from Standard; SMS add-on; no BIMI.

The hotel email lifecycle that drives direct bookings

  1. Booking confirmation. Transactional, from the booking engine or PMS, but branded and authenticated on the hotel’s domain. It sets the reputation every marketing email inherits; see transactional versus marketing email.
  2. Pre-arrival, 3 to 7 days before check-in. Directions, check-in time, and one upselling offer: room upgrade, parking, spa, late checkout. This is the highest-revenue email a hotel sends.
  3. Arrival day. A text or WhatsApp message with the check-in code or a welcome; email is too slow on the day.
  4. In-stay. Restaurant reservations, activities, a “how is everything” message that catches problems before the review.
  5. Post-stay, the morning after checkout. Thank you plus a review request, then a photo recap.
  6. Return offer, 6 to 12 months later. A direct-booking rate for past guests, timed to the season they stayed.
  7. Seasonal campaigns and newsletters. Monthly at most; every message should have a reason to exist.
  8. Win-back and sunset. Guests with no open in 18 months get one final offer, then leave the list. Our sunset and win-back guide has the timing.

Before you send: the authentication checklist for a hotel domain

Confirmations, invoices and marketing all leave from the same hotel domain, so a marketing mistake can land the confirmation in spam. Before the first campaign:

  • Check the domain with the Sender Reputation Checker.
  • Publish SPF including the booking engine, the PMS and the marketing platform (SPF checker); turn on DKIM for each (DKIM checker); publish DMARC (DMARC checker).
  • Send marketing from a subdomain such as stay.yourhotel.com so a promotional problem does not touch confirmations.

Six of the eight vendors enforce DMARC at reject or quarantine on their own domains; Cendyn’s policy was none on the day we checked.

FAQ

Frequently asked questions

What is the best email marketing platform for a hotel in 2026?

Revinate for most independent hotels and small groups, because it is a hotel CRM that pulls guest data from the property management system and automates pre-arrival, in-stay and post-stay emails. Cendyn for chains and large resorts. SendPulse for hotels that want email, SMS and WhatsApp guest messaging from one CRM at a low price, accepting that PMS data comes through Zapier or the API.

What is a hotel CRM and do I need one for email marketing?

A hotel CRM stores guest profiles built from reservations, stays and spend, so you can email past guests by stay history, room type or value. Revinate and Cendyn are hotel CRMs with email built in. General platforms such as Mailchimp or SendPulse have a CRM or audience tools, but need the PMS connected through an integration to get stay data.

Is Mailchimp good for hotels?

For a small independent hotel sending a monthly newsletter and seasonal offers, yes. Its editor is the easiest and it connects to some booking engines through integrations. It has no hotel CRM, no PMS sync out of the box and no pre-arrival automation based on reservation dates without extra setup.

Which hotel emails should be automated?

Booking confirmation, a pre-arrival email 3 to 7 days before check-in with upsells such as room upgrades, parking or spa, an in-stay welcome, a post-stay thank-you with a review request, and a return offer 6 to 12 months later. Revinate, Cendyn and SendSquared trigger these from reservation data; SendPulse and Klaviyo can with a connected booking feed.

Do hotels need SMS and WhatsApp as well as email?

International guests often prefer WhatsApp and domestic guests read texts faster than email on the day of arrival. SendPulse offers email, SMS and WhatsApp from one list; SendSquared adds SMS and voice; Revinate and Cendyn include guest messaging in their suites. Mailchimp and Constant Contact offer SMS as add-ons.

How much does hotel email marketing cost?

From free to more than $1,000 a month. SendPulse and Brevo have free plans and start at about $8 to $9 a month; Mailchimp and Constant Contact start at about $12 to $13 for 500 contacts; Revinate is widely reported at $350 to $1,000 or more per property a month; Cendyn and SendSquared are quote-based.
